Delivering practical, course-specific launch packs for over 24,000 students

When Birmingham City University set out to welcome a new intake of students from across the globe, they needed more than just branded merchandise — they wanted a thoughtful, practical, and fully managed solution. Working closely with their team, we developed tailored welcome packs that reflected their brand, supported students in their studies, and were delivered seamlessly in time for course launch.

With more than 24,000 students from over 80 countries, Birmingham City University is one of the largest and most diverse universities in the UK. The University offers over 350 courses across six academic faculties, ranging from foundation programmes to postgraduate and doctoral research. Approximately one third of students study part-time, combining employment with professionally relevant education.

Project brief

The University approached us to design and deliver promotional welcome packs to be distributed to new students at their course launch events. The packs needed to align with the University’s brand identity while offering genuinely useful items tailored to each faculty and course group.

    Consultation and planning

    We worked closely with the University management teams to define requirements across faculties and courses, ensuring the right mix of merchandise.

    Specialist items

    The sets for some courses varied with items tailored to their needs. For example, sets for the Nursing and Midwifery courses included hand sanitisers, ID card pull-reels, and heart-shaped stress relievers.

    Assembly of items

    The Graphic Arts team managed pre-packing of all items into ready-to-distribute sets.

    Direct delivery

    We were able to deliver to the course launch venue on the day of the event, saving time and making logistics easy for the organisers.

    Key learnings

    A successful student welcome experience requires more than branded merchandise, it demands thoughtful planning, audience-specific relevance, and streamlined logistics. By tailoring pack contents to each course and managing the full pre-pack and delivery process, we helped ensure a smooth launch day while reinforcing the University’s brand and commitment to student experience from day one.

    A key factor in this project was the assembly of the packs and the delivery on the day. This made things very easy for the organisers and it was a much appreciated service that we were happy to provide. Going the 'extra mile' is what made this project stand out.
