Supporting the NHS Electronic Patient Record (EPR) rollout

Delivering clear, strategic signage for one of the NHS’s largest digital transformations

Graphic Signs partnered with University Hospitals Coventry and Warwickshire NHS Trust to support the rollout of its new Electronic Patient Record (EPR) system. As part of a national NHS digital transformation programme, the project required clear, large-scale communication across multiple hospital sites to ensure staff, patients, and visitors were fully informed before, during, and after implementation.

Project brief

The introduction of the new EPR system marked the largest transformation in patient record management in NHS history. As part of a nationwide initiative to ensure all NHS Trusts adopt electronic records by 2026, UHCW was tasked with implementing its own site-specific communication strategy aligned with the national campaign.

Graphic Signs supported the Trust across its Coventry, Nuneaton, and Rugby hospital sites, forming part of a wider change management communications programme. The project required temporary event signage that could evolve through different phases of the rollout — from pre-launch awareness to live transition support and post-implementation guidance.

Signage had to reach high-footfall areas including car parks, receptions, waiting areas, and staff-only spaces, ensuring visibility for multiple audiences.

    Key learnings

Large-scale digital transformation in healthcare requires more than technical implementation — it demands clear, consistent communication. This project demonstrates how strategic signage plays a critical role in change management, particularly in complex, high-traffic environments such as hospitals. By delivering flexible, audience-focused signage solutions, Graphic Signs helped ensure the smooth adoption of the new EPR system while supporting patient confidence, staff preparedness, and continuity of care throughout the transition.
